Justis FAQ – Personal user registration

In order to use the Justis and JustCite services, all users need to complete a simple registration process to become a personal user.

Q –	Why is personal user registration compulsory?
A –	This enables Justis Publishing to tailor Justis to your needs, and provide you with additional functionality such as: Save your searches Set up alerts Customise your search form, results lists and document display.

Setting up personal User IDs

Q –

How do we set up personal User IDs in our firm/chambers/organisation?

A –

If you know your current subscriber User ID and Password, then you can set up personal User IDs yourself by following the instructions in the Sign In box. Your subscriber User ID and Password will act as the Admin ID. If you use IP recognition, then you do not need to know the Admin ID. If you have many personal users and you would like Justis Publishing to set them up for you, then please contact us for further details.

Q –	What if we change over 100 users per week?
A –	Justis Publishing can provide weekly uploads of new users for you.

Q –	What if we have temporary users?
A –	You can set up personal User IDs (email addresses) in the same way as for permanent staff. It is up to you if you want to re-use personal accounts for new temporary staff.

Q –	What do we do when a new user joins our firm/chambers/organisation?
A –	Just click the “Register as a personal user” button in the Sign In box, and enter the details for the new user. If your organisation does not use IP recognition, then you will need to know the Admin ID and Password. If you have a group of people joining your organisation, contact Justis Publishing and we can import the email addresses for you.

Q –	How quickly can we set up personal users?
A –	If you know the Admin ID and Password (or if your organisation uses IP recognition), then you can set up a personal user and they can start using their personal User ID immediately.

Q –	How would academic institutions set up personal User IDs and Passwords if they want to? (Either for students, or for lecturers, or both.)
A –	Signing in for academics is controlled by Athens, and this has not been changed by the introduction of personal User IDs for non-Athens users. If required, academics can set up their own personal User IDs (email addresses) and Passwords, as long as they have access to the Admin ID and Password.

Q –	If the personal User ID is set by Justis Publishing as the user’s email address – who sets the Password?
A –	Justis Publishing sets the Passwords if we upload the personal User IDs. The user sets the Password if he/she registers him or herself. The only restriction on passwords is that they must have between 6 and 20 alphanumeric characters.

Q –	What happens if we change the name of our firm/chambers/organisation, and change all of our email addresses to match?
A –	Contact Justis Publishing, and we will update your personal User IDs (email addresses).

Q –	Does my personal User ID have to be a valid e-mail address?
A –	Yes. Justis Publishing will send your user credentials to that email address when you set up your personal account, with a link to click to activate your account. If you ask to be reminded of your password, Justis Publishing will email a link to the email address that is your personal User ID. If the email address is wrong or needs to be changed, please contact Justis Publishing.

Cookies

Q –	What do we do if our firm/chambers/organisation wipes our cookies on a daily/weekly/monthly basis?
A –	You use Justis as normal. The only thing that will happen is that when the cookies are deleted your computer will forget your personal User ID, and you will have to type it again. You will not lose your saved searches, saved documents, alerts or preferences.

Q –	How can I delete the cookie that stores my personal User ID?
A –	This depends on which Web browser you use. Follow the instructions for deleting cookies for www.justis.com. Your Password is not stored in a cookie.

Working from home (roaming)

Q –	What if I am working from home and I am used to using IP recognition at work?
A –	If your organisation has IP recognition, then it is not normally possible to use your personal User ID at home. However, you can ask Justis Publishing to enable the roaming facility, so that you can access Justis from computers whose IP addresses have not been registered. You will need a personal Password to access Justis when you are not at work.

Q –	Can I sign in to Justis from home via a link on my office intranet?
A –	Yes. You will have to enter your personal User ID (email address) and Password as normal when you access Justis.

Lost or forgotten passwords

Q –	What happens if I forget my personal password?
A –	There is a “Forgotten Your Password?” link in the Sign In box. Type your User ID (your email address), click the link, and the password will be sent to the email address used for your personal User ID.

Q –	Is there a place on the site where I can enter my email address and a security question to be reminded of my password?
A –	You can get your password by emailing us from our website using the “Forgotten Your Password?” link. An email will be sent to the email address used as your personal User ID. No further details are required.

Q –	Can the library set up a backup User ID and Password for times of emergency?
A –	This is not necessary. The “Forgotten Your Password?” link is always available, and can send your password to the email address that you use as your personal User ID, at any time of the day or night.

Q –	Will the librarian have a list of all users’ sign-in details?
A –	Justis Publishing can supply a spreadsheet with all personal User IDs and Passwords that are set up for the firm/chambers/organisation account.

IP recognition

Q –	What is IP recognition?
A –	Each computer that is connected to the Internet has a unique numerical code assigned to it, called an IP address. If you register the IP address of your computer (or all of the IP addresses on your network) with Justis Publishing, then we can recognise your computer when you want to access Justis and allow you to use the service without needing a Password.

Q –	What if we don’t have IP recognition?
A –	When your users sign in, they will have to supply not only their personal User ID (email address) but also their personal Password.

Q –	What happens if I am on the Government Secure Intranet (GSi) working for a department with very high staff turnover, and the GSi doesn’t support IP recognition?
A –	New staff will have to ask their administrator/librarian who has access to the Admin ID to set them up as personal users. When users sign in, they will have to supply their personal User ID (email address) and their personal Password.

What if we have IP recognition and our users want to work from home?

A –

If your organisation has IP recognition, then it is not normally possible for your users to sign in at home using their personal User IDs. However, you can ask Justis Publishing to enable the roaming facility, so that your users can access Justis from computers whose IP addresses have not been registered. Your users will need a personal Password in addition to their personal User ID when they are not at work.

Q –	Do I still need to register as a personal user?
A –	Yes. Justis needs 2 forms of identification in order to recognise you, and these are (i) your personal User ID (email address) and (ii) a registered IP address instead of a Password.

Do I still need a Password?

A –

If your organisation has decided to restrict access to Justis to computers with specified IP addresses, then it will not be possible for you to enter a personal Password when you register as a personal user, and you can sign in without one. If your organisation has decided to allow some users to access Justis from home or elsewhere, then you will need a personal Password when you are away from work.

Hot desking

Q –	What if we operate a hot-desking culture?
A –	No problem, you just have to sign in each time you use Justis. If someone else is already signed in, you can use the “Not You?” link to sign in as yourself.

Other questions

Q –	Can I still use my old User ID and Password?
A –	No. Since the release of Justis 2.0, your subscriber User ID and Password no longer function for searching. They have become the Admin ID and Password that you need for setting up and administering personal User IDs.

Q –	Can Justis remember my User ID and Password?
A –	If you select “Remember me on this computer” in the Sign In box, then Justis will automatically display your User ID in future. For security reasons, Justis will not remember your Password.

Q –	What happens if I access Justis via a portal or common interface search engine which used to pass a generic User ID and Password to Justis?
A –	The first time you sign in, you will have to provide your personal User ID (email address) and Password. If your organisation has IP recognition and does not allow you to use Justis outside your organisation, then you only have to supply your personal User ID.

What is the procedure when someone leaves an organisation?

A –

IP recognition is the best answer to this, because it is normally set up to prevent personal User IDs from being used outside the office. If there is no IP recognition, then users who have left need to be reported to Justis Publishing on a regular basis. We are planning to provide an online administration feature to enable a librarian or administrator to delete old personal User IDs. Saved searches, saved documents, alerts and preferences are stored on the Justis server. You can request Justis Publishing to delete them, or to transfer them to another user.

Q –	What if my organisation hasn’t sent a list of all of our users to Justis Publishing?
A –	Users will be prompted to register themselves when they sign in for the first time. If IP recognition is in use at your organisation (with no exceptions), then only the personal User ID (email address) is required, and it is not possible to enter a personal Password. If IP recognition is not in use, then you need to enter the Admin ID and Password before you can enter personal details.

Q –	Can we all have the same Password for every user across the firm/chambers/organisation?
A –	Yes, but this is not recommended. You would be able to sign in as one of your colleagues, and check or change their settings, saved searches, etc.

Q –	How do I give my users access in a public library (or similar situation) when users do not have a valid email address?
A –	Justis Publishing will create one personal User ID for each concurrent user that your licence allows. These special User IDs will not be email addresses.

What do I do if I get a new computer?

A –

You will still be registered as a personal user. The first time you use Justis on your new computer, you will have to type in your personal User ID (email address) and Password. Your saved searches, saved documents, alerts and preferences are stored on the Justis server, and so they will still be available from your new computer. If you want to remove all traces of your personal User ID from your old computer, then you need to delete cookies for www.justis.com (and www.justcite.com).
